Charity Income Recovery

Find income your charity has earned. Recover what is due. Strengthen the processes that protect future income.

We have worked alongside charity teams making difficult decisions about sustaining services. When people are stretched and information sits across different systems, income can be missed. GAP works with your team to find and resolve those gaps.

Could this help your organisation?

This focused review is for charities and not-for-profit service providers paid under contracts or agreed fee arrangements. It is particularly relevant where agreed rates, service delivery, billing and payment records do not connect reliably.

For suitable cases: no upfront professional fee. No recovery means no professional fee. GAP receives an agreed share of money actually recovered, with scope, fee percentage, VAT treatment and any external costs agreed in writing before work begins.

Start with a free, confidential suitability conversation. No confidential records or system credentials are needed for that first discussion.

What we look for

  • Missed fee increases: an agreed uplift that was not applied to billing.
  • Unbilled services: eligible additional services delivered but not invoiced.
  • Contractual underpayments: payments below the evidenced agreed rate or amount.

We compare what your organisation was entitled to receive with what it delivered, invoiced and was paid. The focus is missed contractual income; this is not a fundraising or grant-finding service.

How the review works

  1. Agree suitability and scope. Discuss the issue, a defined set of contracts and the available records. We confirm whether a success-fee review is appropriate before committing.
  2. Examine the evidence. Review agreed contracts, rate changes, service records, invoices, credit notes and payment allocations. The initial analysis can usually use exports rather than direct system access.
  3. Validate the shortfalls. Reconcile differences with your team, allowing for credits, timing, disputes and any corrections already made. Each proposed recovery has supporting evidence.
  4. Support recovery. Agree the next steps with you and help prepare the evidence and billing corrections. You approve any approach to a customer or commissioner.
  5. Protect future income. Explain the confirmed causes and recommend practical control improvements. Any wider implementation or ongoing monitoring is separately scoped and priced.

Relevant experience: approximately £600,000 recovered

In a previous national social-care charity assignment, David Roberts helped recover approximately £600,000 of historic income through improved service-level income analysis and follow-through on amounts due. This was part of wider finance leadership and transformation work.

Read the income recovery case study. It describes previous assignment experience, rather than a completed engagement under this new fee model.

Who leads the work?

David Roberts MBA FCCA personally leads the review alongside your team. A former PwC Audit Manager and PLC CFO, he brings more than 20 years of interim finance leadership and transformation experience, including substantial charity work. Capacity, responsibilities and timing are agreed before an engagement is accepted.

Clear terms and careful handling of information

Before work starts, we agree the baseline, what counts as a recovery, exclusions for work already underway, treatment of credits or reversals, payment timing and the fee calculation. The initial conversation is free. For an accepted success-fee review, the professional fee becomes payable only after the agreed qualifying recovery is received. External expenditure is incurred only with prior written approval.

Data requirements, access, confidentiality and processing arrangements are agreed before records are shared. We request only the information needed and use coded service identifiers wherever possible. Any AI-assisted processing must be agreed with the client; calculations and proposed recoveries are reviewed by people. Please do not send beneficiary records, bank details or passwords with an initial enquiry.

Recovery depends on valid entitlement, supporting evidence and the circumstances of the payer. No amount or recovery date is guaranteed. This service does not replace legal advice or conduct litigation.

A stronger basis for sustaining services

Income recovery can be a practical first step. Where the wider issue is service pricing, funding gaps, reporting or operating-model design, GAP can help assess the options through a separately agreed programme. Explore charity financial recovery and sustainability support.
